Mô tả công việc
1. Export Documentation Management:
- Prepare required sets of export documents as per contractual requirements and regulations of the exporting countries (e.g., Invoice, Packing List, Bill of Lading, Certificate of Origin, Certificate of Analysis/Quality, Fumigation Certificate, Insurance Certificate).
- Collaborate with relevant departments to finalize documentation sets.
- Verify the validity and accuracy of documents received from suppliers or issued to clients.
- Maintain and manage shipment-related records and documents systematically for easy retrieval.
2. Customer and Sales Team Support:
- Assist the sales team in preparing and sending quotations, product information materials (catalogues, specifications), and dispatching recycled plastic samples to clients.
- Update client and order information in the company's order tracking system.
- Promptly inform the sales team and clients about order statuses, any arising issues, and propose solutions.
3. Internal Coordination and Reporting:
- Coordinate closely with other departments (Logistics, Accounting, Procurement) to ensure smooth information flow and efficient task execution.
4. Other Administrative Tasks:
- Draft official correspondence and emails for transactions with clients and partners in both Vietnamese and English.
- Assist in scheduling meetings and preparing materials for sales department meetings.
- Perform other administrative tasks as assigned by the Head of Sales.
Yêu cầu
- College/ University degree or higher, priority given to majors in Business Administration, Economics, Foreign Trade, Business English, Logistics or related fields.
- At least 1-2 years of experience in a similar position (Sales Admin, Sales Support, Customer Service, Import-Export Admin) in export company or export agriculture.
- Strong knowledge of export procedures, INCOTERMS, and international trade regulations.
- Good command of English (speaking, writing, negotiation).
- Proactive, target-driven, and able to work independently.
- Willing to travel abroad when necessary.
