Position Overview

AGEST is seeking a highly organized and proactive Assistant, Engineering Director to manage the internal allocation and onboarding of resources across our group companies. This role is a critical link between our project teams and our talent pools within AGT, AGS, AGD, and AGH.

The primary purpose of this position is to ensure that our projects are staffed efficiently with the right people and to facilitate a smooth onboarding experience for all internal resources moving between companies and projects. The ideal candidate is an outstanding communicator, exceptionally detail-oriented, and thrives in a fast-paced, multi-stakeholder environment.

Key Responsibilities

  • Resource Coordination & Allocation:
    • Act as the central point of contact for all internal project resource requests.
    • Liaise directly with managers and team leaders at AGT, AGS, AGD, and AGH to identify available and suitable personnel for upcoming projects.
    • Manage and track the pipeline of incoming project requests against current resource availability.
  • Internal Onboarding:
    • Coordinate the project-specific onboarding process for all assigned resources.
    • Ensure all administrative, IT, and access-related tasks are completed before the resource's project start date.
    • Schedule and facilitate project kickoff meetings and introductions between the new resource and the project team.
  • System & Data Management:
    • Maintain an accurate, centralized database or "resource pool" of employees from all group companies, including their skills, availability, and current project assignments.
    • Track key metrics such as resource utilization, time-to-fill for project roles, and allocation conflicts.
  • Communication & Stakeholder Management:
    • Facilitate regular meetings with department heads and project managers to forecast upcoming resource needs.
    • Communicate clearly and promptly with all stakeholders regarding resource status, potential delays, or scheduling conflicts.
    • Assist in resolving any allocation conflicts by proposing viable solutions.
  • Process Improvement:
    • Support the development and refinement of the internal resource management process to improve efficiency and transparency.

Qualifications & Skills

  • Experience: 2-5 years of experience in an HR, recruitment coordination, project coordination, or administrative role.
  • Organizational Skills: Exceptional organizational and time-management skills with a proven ability to manage multiple priorities and deadlines simultaneously.
  • Attention to Detail: Meticulous attention to detail is essential, especially for tracking and data entry.
  • Communication: Strong verbal and written communication skills. Must be comfortable and professional in liaising with managers and employees across multiple companies.
  • Tech-Savvy: Proficient in Microsoft Office Suite (especially Excel for tracking) and familiar with HR Information Systems (HRIS) or project management tools (e.g., Asana, JIRA, Trello).
  • Problem-Solving: A proactive, "can-do" attitude with the ability to identify problems and suggest solutions.
  • Interpersonal Skills: A strong team player with the ability to build relationships and work collaboratively.

Desirable (Nice-to-Have)

  • Experience working in a complex, multi-subsidiary, or group-company environment.
  • Basic understanding of project management principles.
  • Experience in a technology or IT services company.
